Key Information
Essential premises information

Whether planning a major project or dealing with an emergency, you should have basic information readily available and accessible to key personnel (e.g. Head Teacher, Deputy, Governors, Health & Safety Representatives, Surveyors and Consultants and Building Contractors).

Some of this is required by law (e.g. the Construction (Design & Maintenance) Regulations require the production of premises-related information by those involved in the design of new building projects which must be maintained and updated by the Governing Body when undertaking or commissioning work; Health & Safety requirements around asbestos management and statutory testing) and some to aid good and effective property management.

Some of this is included in your AMP data and some will depend upon local knowledge.

It is suggested that you should retain:

  • Copy of site plans if available

  • CDM Regulation information including as-built drawings

  • Operating manuals for boilers, alarms, etc

  • Asbestos survey

  • Record of statutory testing

  • Position of water meter and all stop cocks

  • Position of gas meter and all isolating valves

  • Position of electrical meter and electrical intake

  • Position of fire hydrants

  • Sewer information including inspection chambers

  • Known trouble spots e.g. sewer blockage point

  • Location of all master keys including emergency key holders

This is not an exhaustive list and schools should add to this as appropriate.
